Get Ready To Launch The Summer Camp 2023 Mission In 3… 2… 1…

All for One and One for All!

In order to trigger incentives for everyone, we need to hit our collective Summer Camp revenue target. But don’t worry — if we all make an effort to meet these goals, we’ll blow past the target!

Your manager will share more details on these goals.

Step 2: Reach Out
Due by 3/23

Send an email, or make a call to schedule an in-person meeting with your district administrator leader(s)

We know reaching out can be nerve-wracking, but we’ve got your back! Check out Operation Clutterbuster below to see what your district administrators are already receiving!

Operation Clutterbuster

Operation Clutterbuster is a Central Office tactic designed to “bust through the clutter” by sending a sweet treat (a special Chicago caramel and cheddar popcorn mix) to your district’s lead administrator. This gift also comes with a letter introducing our Summer Camp program and Kate Vincent, Associate Partnerships Manager, who has already begun following up with them. How’s that for an introduction?

See what was inside!

*reach out to [email protected] to verify if your district administrator received one.

Step 3: Have a Conversation
Due by 3/31

It’s now time to finalize the camp conversations with your district administrators. Schedule a call well before the 3/31 due date to account for their availability. Here’s an email template and text template to get you started!

When you have your meeting scheduled, check out these talking points on what to consider beforehand, and key topics to talk about to help get you started, or to continue the conversation. (Remember to bring your client intake form!)

Tip: Bring these additional items to your meeting!

Step 4: Open Registration
Due by 4/15

Registration Guide

Once Summer Camp is approved, head to FEDORAS and follow the guide to officially enter and submit your camp information.

SUMMER CAMP MARKETING KIT

Beginning mid March, look out in the mail for Summer Camp resources like flyers, brochures, stickers, and more being sent directly to you from Central Office! Packages will arrive separately for each item. Stay tuned for tracking information coming soon.

Need additional materials? Reach out to [email protected] anytime!

Step 2 For 1 Program Manager: “Run the April Sprint”
One week in April, during Right Club

The April Sprint is a week long opportunity to engage and inform your existing Right Club families about our Summer Camp program!

One week in April, during Right Club
(no actual running required!)

During this time, a staff member from your team (usually the PM) at each school can show off the Summer Camp spirit by wearing the Orange “Ask Me About Summer Camp” t-shirt. Please lay out the camp materials – from the shipped Summer Camp Marketing Kit – and hand those out to families as they pick up their kids. You can also help facilitate on-site camp registrations on your Chromebooks.

Create Your Own Silly Summer Camp Story Book Take Home Activity

This “mad lib” style daily activity should be printed off and distributed during the April Sprint as a take-home activity. This file contains a 5 piece story, one to be handed out each day of the 5-day April Sprint. Kids at home can then do the activity with an adult and collect all five pieces to reveal a Summer Camp Silly Story Book!

File link coming soon!

T-Shirts and Marketing Kits

For a list of which districts received these t-shirts and marketing kits, please check out the “April Sprint Supplies -Sent From Central Office” Tab located in the “2023 Summer Camp Info” Google Sheets document sent out and regularly updated by your Camps Team.

Step 2 For Area Managers: Host a Virtual Info Night in April
Due by 4/30

Host a Virtual Info Night

A Virtual Info Night (similar to an open house) allows our families to learn more about our Summer Camp programs and to meet the captains (THAT’S YOU!) in charge of making this summer the best one yet!

Check Out these Virtual Info Night Resources

View all these resources, how to set up your Google Meet, and more on the Summer Camps Wiki Page, under April Sprint.

Important: Make sure to include [email protected] as an attendee when setting up your Virtual Info Night Google Meet

Step 3: Maintain Communication with Families
Due by 4/30

Make sure to send an email for your Open House and follow up by April 30th!

Central office has your back for this one too! Our Marketing Team regularly sends out communications to our current and past RASers, letting them know registration is open and keeping them informed all year long.

Check out the Summer Camp Marketing Tab located in the “2023 Summer Camp Info” Google Sheets document sent out and regularly updated by your Camps Team.

Use camp templates to really make a Splash!

View all the Summer Camp Templates available to send to families and your school’s principal, located on the Summer Camps Wiki Page!

Step 4: Utilize the Summer Camp Playbook

You know your community best!

Check out the Summer Camp Marketing Playbook with direct links to every template and guidance designed to help you get the most impact out of these tools.

Engage more families than ever to contribute to higher satisfaction ratings

Incentivized MILEstones for SAMs, AMs & Each Camp’s 1 Camp Manager:

- Reach an NPS score of 40 and 25% participation rate of total enrollments

Step 1: Prepare for the Summer Camp kick-off!

Identify and hire a Program Manager for Summer. Regularly check in with this individual and get on the same page about how to run your camp.

Make sure to join all the training calls. If you missed any, please view this Summer Camp Training Deck and contact your camps team at [email protected] for any questions.

Summer Camp Marketing Materials are still good to use! While the end of the school year has passed, our camps give flexibility to families to pop in for a day, a week, or the whole summer. Use the Summer Camp 2023 Marketing Playbook for ideas on where to post materials in your communities.

Step 2: Engage Families

Engage parents and guardians at drop off and pick up to make great impressions that last all summer long! While the kiddos are the ones that attend and enjoy camp, share the adventures with the whole family with these few ideas.

Update the Summer Camp Parent Board!

Just like in Right Club, the parent board is a useful tool for families to view important program information. Don;t forget to make updates throughout camp when things change. To see what should be included, head to the Wiki to learn more.

Create a Virtual Photo Gallery

Upload pictures to a google drive to share with parents. To make sharing easier, you can use Canva to create a QR code with your google drive link.

Develop Camp Newsletters

Sending out a newsletter to all parents is a great way to highlight all the fun we are having in camp. By sending it out at the end of each week, you can recap everything that happened!

Send Camp Creations Home

Some creations at camp can hang on the walls; others can get sent home!

Step 3: Use the Summer Camp Playbook

To run a Spectacular and Silly Summer Camp, reference the Summer Camp Binder, jam-packed with fresh week-by-week ideas on activities, games, songs, and more!

Step 4: Submit Safety and Joy Audits

Make sure you are regularly submitting a Safety and Joy audit, which can help ensure real-time updates and changes for quality.

Step 5: Try these RASful tips & ideas!

1. Try starting the camp day with a fun tradition like learning unique high-five dances with each camper or saying a silly phrase as a greeting.

2. Since your spaces do not need to be cleaned up for school, Hanging art and other decorations are recommended to foster a fun and creative campsite for your kiddos!

3. Create and sing fun camp songs together! For the musically inclined, you can create musical instruments with art supplies like drums or maracas. Alternatively, YouTube is a great resource for getting inspired by viewing existing classic camp songs or finding beats to create your own lyrics.
